Salary: $30.00/ hour - $35.00/ hour

Responsibilities

Key responsibilities include:

  • Review all leases and amendments in order to abstract and input all rental obligations and all other important lease information into respective accounting systems.
  • Review recovery clauses, set up recovery pools, calculate actual recovery expenses for each tenant, and review caps, base years, and non-standard exclusions.
  • Track, maintain, and communicate all expirations, option exercise dates, and other critical information to the assigned property manager.
  • Work with accounting team and lease administration to identify rent payments and proper application of payments against open charges.
  • Coordinate with the property managers and accounting team when processing any one-time or manual tenant charges in the system (non-cash adjustments, write-offs, concessions, and reversals).
  • Invoice monthly/quarterly/semi-annual/annual charge backs to tenants for utilities (including direct and 3rd party invoicing), HVAC O/T, service invoices, real estate taxes, BID taxes, vault taxes, insurance, and any other charges as specified by the lease.
  • Coordinate with the property managers to process monthly late fees, default notices, suits for non-payment, and submissions for legal filings.
  • Generate and distribute monthly Aged Delinquency Reports and work with property managers to ensure client contact occurs and payments are received.
  • Serve as sytem administrator; some additional administrative duties required.

Qualifications

To be successful in this position, you should have at least 2 years of commercial lease administration experience. Retail lease administration experience preferred, but not required. Must have prior experience working with Property Management software systems, including but not limited to MRI or Yardi and MicroSoft Office programs with a strong proficiency in Excel. Strong time-management and communication skills required. Excellent attention to detail, customer service and multi-taksing skills required.  Must be able to work independently and collaboratively as part of a team in a fast-paced environment. Ability to maintain confidentiality and discretion is important. This position is mostly sedentary in an office environment, with daily bending, lifting, standing, and walking between floors within the Corporate office.
